⛓️ Generate a download link

Automatically create a time-limited download link for a ChiliDocs document in a workflow and write it into a property of your choice.

The "Generate Download Link" workflow action writes a time-limited link to the generated document into a property of the enrolled record. From there you can reuse the link in a workflow email.

 

✅ Two ways to reference the document

  1. Search by filename → Enter a substring and ChiliDocs finds the first matching file.

  2. Use previous generated document → Reference the document from a previous ChiliDocs action.

👉 Important for method 2:

  • Click into the File (use previous) field.

  • In the dropdown, select "Action outputs" (under "Action properties", at the very bottom).

  • Pick the variable "File ID".

 

✅ Target property

  • Choose the property the link should be written to.

  • Enter the internal property name explicitly – not as a data variable.

  • It must be a property of the enrolled object (for deal enrollment: a deal property).

 

✅ Link validity

Default is 30 days, maximum 365 days. You set the duration in the action.

 

✅ Available on

Contacts, companies, deals, tickets, orders, quotes and custom objects.

 

⚠️ Not available for subscriptions

HubSpot doesn't offer a permission to write subscription properties, so "Generate Download Link" is not selectable for subscriptions.

 

⚠️ Error: PROPERTY_UPDATE_FAILED

If HubSpot rejects the property write, the action fails immediately with PROPERTY_UPDATE_FAILED – there are no retries. Common causes:

  • The property doesn't exist or was deleted.

  • The property is read-only.

  • For quotes: the quote can't be saved (no deal associated, currency mismatch, e-signature without signers).

Check the target property and the record's data in those cases.

 

💡 Example

Generate a quote → generate a download link → send it to the customer in a workflow email. Use a personalization token in the mail body:
