🔀 Generate and attach a document

The "Generate and attach document" workflow action generates a document and attaches it as a note to the enrolled record. The document then appears on the record's timeline for the whole team to find.

Template – which Word template is used.
Output format – Word (.docx) or PDF.
Hide empty placeholders – remove fields without data.

Contacts, companies, deals, tickets, orders, quotes, subscriptions and custom objects. Courses can't be enrolled in HubSpot workflows.

⚠️ Quotes and subscriptions: automatic note routing

HubSpot doesn't allow notes on quotes or subscriptions directly. The action therefore attaches the note to a related record automatically:

Quote → the note is attached to the quote's primary deal. "Primary" is detected via an association label containing the word "Primary"; without such a label, the first associated deal is used.
Subscription → the note is attached to the primary contact. Same rule: an association label containing "Primary" wins, otherwise the first associated contact.

⚠️ If a quote has no associated deal or a subscription has no associated contact, the action fails.

💡 Example

Workflow with deal enrollment → generate a quote as PDF and attach it as a note to the deal as soon as the deal reaches a certain stage.
